Late payments can be more than just frustrating and can seriously impact your business’s cash flow. That’s why Cashflow.io provides a built-in tracking system that gives you complete visibility into every payment request you send. From delivery to payment completion, you’ll know exactly where things stand.
How to Track the Status of a Payment Request
- Go to the Home Page.
- Select Receivables History.
- You will see a list of your receivables here. Simply click on the payment request you want to track to view the details.
- On the transaction details page, refer to the Transaction Log on the right to view real-time status updated. The transaction log will display up to five key stages of the payment request lifecycle:
- Transaction Created: Indicates when the payment request was generated and by whom.
- Email not opened / Email opened: Shows whether the recipient has opened the email. If opened, Cashflow.io records the date and number of times it’s been viewed.
- Request not viewed / Request viewed: Indicates whether the customer clicked on the payment request link. If viewed, the date and frequency are recorded.
- Waiting on customer to accept / Customer accept: Displays whether the customer accepted the payment request, along with the timestamp.
- Full payment: Confirms the date and time the transaction was successfully completed.
Use cases
By knowing exactly where your payment request stands, you can follow up with greater precision and avoid guesswork. Common use cases include:

Customer claims they didn’t receive the payment request:
The log shows the email was opened (possibly multiple times), indicating an internal miscommunication on their end. -
Email opened but request not viewed:
The customer may be experiencing a technical issue or unsure about the legitimacy of the email, the perfect time to follow up with reassurance. -
Request viewed but not accepted:
This might suggest that there’s confusion around the terms, or that internal approval is delayed. -
Request accepted but payment not received:
This could signal issues with their payment method or banking details, excellent time to gently follow up and verify.
